Users & Roles
Manage staff login accounts and control who can see and do what in the system.
Built-in roles
| Role | Access |
|---|---|
| Administrator | Full access to all modules and settings |
| Principal | All modules read + AI features; cannot change settings |
| Accounts | Fee management, accounts, payroll |
| Admission | Inquiry, admission, student registration |
| Teacher | Attendance (own class), marks entry, timetable view |
| Librarian | Library module only |
Creating a user account
Go to Settings → Users → New User. Enter username, display name, role, and initial password. Users must change their password on first login.
Custom roles
Go to Settings → Roles to create custom roles with granular permissions. Each permission is a specific action (e.g. "Fee: View", "Fee: Collect", "Fee: Refund"). Assigning custom roles lets you fine-tune access for specific staff positions.
Login history
Go to Settings → Login History to view a log of all user logins — username, date, time, and machine IP. This helps identify unauthorized access attempts.
Disabling accounts
When a staff member leaves, disable their account immediately at Settings → Users. Disabled accounts cannot log in but their historical data and audit trail are preserved.
