Journal & Payment Vouchers
Entering payment, receipt, contra, journal, and memo vouchers.
Journal-Style Voucher Entry
Journal-style vouchers are for transactions without an inventory component: payments, receipts, contra transfers between bank/cash, journal adjustments, and month-end accruals.
When to Use Each Type
- Payment: Money going out — paying a supplier, salary payment, expense payment
- Receipt: Money coming in — customer payment, advance received
- Contra: Cash-to-bank or bank-to-bank transfer — no P&L impact
- Journal: Any accounting adjustment — depreciation, opening balances, corrections
- Reversing Journal: Accrual entries that auto-reverse on the first day of the next period
- Memo: Draft entries — not posted to GL until confirmed
Bill-by-Bill Settlement
When a payment voucher uses a Sundry Debtor/Creditor ledger, you can mark it as "Against Ref" and select the specific bill to settle. This keeps your outstanding reports accurate at bill level — not just ledger balance.
