The complete sales workflow — quotation, order, invoice, payment receipt, and returns.
Sales Workflow
Sales Quotation
Sales Order
Sales Invoice
Customer Receipt
Each stage is optional. You can go directly from Sales Order to Sales Invoice, or create a standalone invoice. Converting between stages carries all line items forward automatically.
Sales Invoice
- Open the Sales Invoice tab → New (Ctrl+N).
- Select the Customer (F2). Their state determines whether CGST+SGST or IGST applies.
- Set the Invoice Date.
- Add line items: Item, Quantity, Unit Price. Tax calculates automatically.
- Save (Ctrl+S) for Draft. Post (F9) to finalise — posts the journal entry, updates stock, sets the invoice number.
Posted invoices cannot be edited. Cancel (Esc) to reverse, then create a new corrected invoice.
Customer Receipt
- Open the Customer Receipt tab → New.
- Select the Customer and the Invoice being settled.
- Enter the Amount and Payment Method (Cash/Bank/UPI/Cheque).
- Post (F9). The invoice's Balance Amount updates immediately.
Sales Return
When a customer returns goods, use the Sales Return tab (equivalent to a Credit Note). Link to the original invoice, enter returned quantities, and Post. Stock is added back and the accounting reversal posts automatically.
Sales Quotation & Order
- Sales Quotation: A price quote. No stock or accounting impact. Convert to Sales Order when the customer confirms.
- Sales Order: A confirmed order. No accounting impact yet. Convert to Sales Invoice when you deliver goods/services.
