PDF Tools Are Overpriced: The Real Reason I Built AllInOnePDF

COVER // PDF TOOLS ARE OVERPRICED: THE REAL REASON I BUILT ALLINONEPDF

I needed to merge two PDF documents. This is a task that sounds like it should take thirty seconds. Instead, it took me fifteen minutes — not because the operation is technically complex, but because every online PDF tool I tried was either behind a paywall for downloading the result, limited to files under 5MB, or required creating an account before I could do anything. The tools that were “free” were free for the first step and then required payment to complete the action.

This is not a new problem. PDF tooling has been one of the most aggressively monetised software categories for years. Adobe Acrobat is the industry standard and costs $20-$25 per month for a subscription to functionality that has existed for decades. The web-based alternatives are increasingly gated behind account creation and per-download limits. The free desktop tools are often outdated, lack features, or are bundled with unrelated software.

I am a developer. The PDF format is well-documented. The operations that most people need — merge, split, compress, convert, watermark, rotate — are not technically complex to implement. So I built AllInOnePDF: a local desktop PDF toolkit that does all of these operations without a subscription, without an account, and without sending your documents to a cloud server.

The Problem With Cloud-Based PDF Tools

Before explaining what AllInOnePDF does, it is worth being explicit about the privacy concern with cloud-based PDF tools that is often overlooked.

When you upload a PDF to a web-based tool — Smallpdf, iLovePDF, PDF2Doc, and the many others — your document leaves your machine and is processed on a server you do not control. For personal documents containing innocuous content, this may not matter. For documents containing personal information, financial data, medical records, legal agreements, or business confidential information, the question of who has access to what you uploaded is not trivial.

Most of these services have privacy policies that address this, and most delete uploaded files after processing. But “delete after processing” and “not logged or stored anywhere” are different statements, and the average user cannot verify which is actually true. For businesses handling documents with any regulatory sensitivity, uploading them to a third-party web tool is a compliance question worth answering before doing it.

AllInOnePDF processes everything locally. Your documents stay on your machine. Nothing is transmitted anywhere.

What AllInOnePDF Does

Merge

Combine multiple PDF files into a single document. Files are dragged into the merge queue in any order and reordered by dragging before merging. Page ranges can be specified — if you need pages 1-5 from one document and pages 8-15 from another, you specify the range rather than splitting manually first.

Split

Split a PDF by page range, by individual pages (one file per page), or by file size (useful for PDFs that need to be emailed and must be under a size limit). Output files are named automatically with the page range they contain.

Compress

Reduce PDF file size by downsampling embedded images, removing metadata, and applying PDF object compression. Three compression levels are available — Low (good quality, moderate size reduction), Medium (balanced), and High (maximum compression, noticeable quality reduction on image-heavy PDFs). The compression preview shows estimated output size before applying.

Convert

Convert between PDF and common office formats: PDF to Word (DOCX), PDF to Excel (XLSX), PDF to image (PNG/JPG per page), and image/Word to PDF. The conversion quality for text-based PDFs is high; PDFs that are scanned images of documents (rather than text-layer PDFs) require OCR for text extraction, which is outside the current scope.

Watermark

Add a text or image watermark to a PDF — all pages or specified page range, with control over position, opacity, font, and size for text watermarks. Batch watermarking applies the same watermark to multiple files in one operation.

Rotate

Rotate individual pages or all pages — useful for PDFs created from scanned pages that were inserted at the wrong orientation.

The cost comparison is significant. Adobe Acrobat Pro at $25/month is $300/year for functionality that AllInOnePDF provides at a one-time purchase price. For users who need PDF tools regularly but do not need Acrobat’s advanced features (form creation, digital signatures, comment review workflows), the cost difference is real and recurring.

What AllInOnePDF Does Not Do

Being honest about scope: AllInOnePDF is a toolset for common PDF operations, not a replacement for Adobe Acrobat’s complete feature set. It does not include:

  • PDF form creation and editing
  • Digital signature workflows
  • Annotation and comment review tools
  • OCR (text recognition from scanned image PDFs)
  • PDF/A compliance conversion for archival
  • Redaction (that is a separate product: AI PDF Redactor Pro)

For users who need those capabilities, Adobe Acrobat or a specialised tool is the right choice. For users who need merge, split, compress, convert, watermark, and rotate — which covers the overwhelming majority of common PDF tasks — AllInOnePDF covers the ground at a significantly lower cost and without a cloud dependency.

The Technology: iText7 Under the Hood

AllInOnePDF uses the iText 7 Community library for PDF operations — the same library underlying many commercial PDF processing applications. iText 7 Community is open-source (AGPL licence) and provides a mature, well-tested PDF manipulation API. The application layer — the interface, file management, and operation coordination — is built in VB.NET with a WebView2 UI.

Quick Summary

  • PDF tooling is overpriced relative to the complexity of the operations: Adobe Acrobat charges $300/year; web tools are free for small files but gated behind accounts and per-download limits; most desktop freeware is outdated or bundled with unwanted software.
  • AllInOnePDF provides merge, split, compress, convert (PDF↔Word/Excel/image), watermark, and rotate — locally, without cloud upload, without an account, at a one-time price.
  • The privacy argument is not minor: business documents uploaded to web PDF tools leave the machine and are processed on servers you do not control. Local processing eliminates this exposure.
  • AllInOnePDF does not include form creation, digital signatures, OCR, or redaction — it covers common operations, not Acrobat’s full feature set.
  • Built on iText 7 Community for PDF operations, VB.NET + WebView2 for the application layer.

PDF operations that should take thirty seconds should take thirty seconds. AllInOnePDF is available here for users who agree that merging two files should not require an account or a monthly subscription.
